What Should Restaurants and Hotels Know About Uniform MOQs, Logo Methods and Lead Times?

What the 100-piece MOQ means in practice

The minimum is 100 pcs per style, and in a hospitality programme “per style” is the part that matters. A front-desk blouse, a waiter shirt and a bar vest are three styles, even when they share a fabric and a colour. Sizes mix freely inside each style — an order of 100 waiter shirts can spread across the full XS–5XL run in men’s and women’s fits without changing the minimum. Colours behave differently: each colour is cut from its own fabric lot, so a style split between black and white usually carries a per-colour minimum, confirmed in the quotation.

Both restaurant uniforms and hotel uniforms follow the same rule, so a group covering several outlets plans the style list first and the department split second.

Embroidery vs. printing on hospitality garments

Embroidery is the default for the chest logo on shirts, polos, vests and chef coats because it survives repeated hot washing and reads as formal at the table. Printing earns its place on large back panels, fine gradients and lightweight cloth where dense stitching would pucker. Many programmes use both — embroidery on the chest, print on the back. Colour coding and name badges across departments

Front desk, restaurant, kitchen and housekeeping usually read as one palette with department signals inside it: a different body colour, a contrast collar or piping, sleeve tape, or a coloured department label at the chest or hem. Each colour variant is its own fabric lot, so send the department split with the inquiry and the quotation will confirm the minimum per variant.

For names there are two routes. We embroider each person’s name from a list you supply — priced per garment, with the final list due before production starts — or we build in a badge loop, holder or Velcro patch so names change without re-stitching. High-turnover teams usually choose the second; front-desk and head-of-department roles the first.

Fabric and colour that survive daily washing

Hospitality garments are washed hot and often, sometimes daily, so the wash decides the fabric before the look does. Polycotton twill and polyester-rich poplins are the usual choices: they hold colour, release food stains and press flat. Dark navy and black hide marks between washes; whites need a cloth that releases them. Tell us who launders the garments and at what temperature — on request we wash-test the sample and report colourfastness and shrinkage before you approve it. Lead times and top-ups for new staff

Sampling typically takes 7–15 days once the fabric, logo method and fit are agreed; bulk production takes 25–30 days after the sample is approved and the order confirmed. New starters are the standing case in hospitality, so top-ups are cut against the sealed sample with the retained embroidery files, thread codes and lab dips — a re-order of a few shirts matches the run already on the floor. Top-ups carry minimums quoted per project; reserving fabric from the first run makes small repeats easier, and repeat orders skip sampling entirely.
