  • Every label is proofed on paper and then as a physical strike-off before the order is placed
  • Garments can be packed per employee with a name and size sticker on the polybag
  • Cartons are packed and labelled by location, department or employee group to your list
  • Care label wording follows the destination market's fibre and care symbol requirements

Labels and packing are the last things decided on a uniform order and the first things a buyer notices when the boxes arrive. A missing size label, a care label in the wrong language or a carton that mixes three sites’ garments creates work at delivery that the garments themselves did not. We treat labelling and packing as part of the specification, agreed before cutting rather than sorted out at the end.

Labels a uniform needs

A brand label at the neck carries your name, woven or printed. A size label is sewn beside it or at the side seam; for uniforms that go through industrial laundering we recommend a large, clear size label because it is read hundreds of times in a laundry sort. A care label states fibre content and wash instructions in the format the destination market expects. Where a programme has men’s and women’s cuts of the same style, the label distinguishes them so laundry and stores do not mix them up.

Names and departments can be added in several ways. A sewn name tape or embroidered name is permanent and suits hospitality and clinical staff. A removable badge suits roles with turnover, so the garment can be reissued. A department or site tag at the sleeve or hem helps a large organisation route laundry and stock. All of these are proofed on paper and then as physical strike-offs; woven labels in particular need to be seen, since fine text weaves differently from how it prints.

Brand labels and hang tags under your own name are set up through private label.

Packing per employee, by location

For a programme with named staff, we pack each person’s garments together in a polybag with a sticker showing name, size and garment count, then pack the polybags into cartons by delivery site or department. The carton mark lists what is inside. HR or the site manager can hand out bags without opening anything. This needs a confirmed employee list before packing starts, and changes after that point mean repacking, so we ask for the list to be frozen at the pre-production stage.

For a distributor or a programme ordered by size ratio, garments are packed by style, colour and size, with size stickers on each polybag and a count on the carton. Either way, a packing list travels with the shipment and matches the carton marks.

Names embroidered on the garment itself are handled under logo embroidery and printing.

Trim minimums and lead times

Label suppliers set their own minimums, and on a small first order the label run may be larger than the garment quantity. We recommend ordering label stock with headroom, since the surplus is used on re-orders and avoids a delay on a small top-up. Sourced items such as badge holders are quoted per project and can have a lead time independent of the garments.

Label headroom matters most for the small top-up orders described under bulk production.

§ 01When Buyers Need This

Situations this service answers

If none of these describe your project, this probably is not the step you need — tell us what you are actually trying to solve.

  • You want your own brand label at the neck rather than a blank or factory label
  • Staff need to be identified by name or department on the garment itself
  • Uniforms are delivered to several sites and each site must receive only its own people's garments
  • HR wants to hand each new starter a sealed bag with their name on it
  • Your destination market requires specific care label content and you are not sure what
  • You want size labels that staff can read easily when sorting laundry

§ 02Our Process

How this step runs

  1. 01

    Label brief

We list every label and tag the garment needs: brand, size, care, name, department, hang tag, and confirm the destination market.

  2. 02

    Artwork and proof

Label artwork is laid out and sent as a paper proof for text, size and colour approval.

  3. 03

    Physical strike-off

Woven and printed labels are produced as physical samples so you can see weave quality, colour and legibility.

  4. 04

    Packing specification

Fold method, polybag size, sticker content, carton contents and carton marks are agreed in writing.

  5. 05

    Application and packing

Labels are sewn in at the correct position on each style, and garments are packed to the specification with a packing list.

  6. 06

    Carton labelling

Cartons are marked with your reference, contents by size or by name, and the destination site.

§ 03What We Need From You

Inputs required

The faster these arrive, the fewer rounds development takes.

  • Brand label artwork, or the text and logo to be used on it
  • Destination market so care label content and fibre wording can be set correctly
  • Employee list with name, size, department and delivery site if packing per person
  • Fold and packing preference, or a request for our standard method
  • Any barcode, SKU or internal reference to appear on stickers and cartons

§ 04Options

Choices available

  • Woven brand labels, printed satin labels or heat-transfer neck prints
  • Size labels at the neck, side seam or waistband
  • Care labels with market-specific symbols and fibre content
  • Sewn name tapes, embroidered names or removable name badges
  • Department, role or site tags at the sleeve or hem
  • Per-employee polybag with name and size sticker, or bulk packing by size
  • Cartons packed by delivery site, department or employee group
  • Hang tags and folding boards for retail-style presentation

§ 05Limitations

What this cannot do

Constraints stated up front are cheaper for both of us than constraints discovered in production.

LimitationsWhat this cannot do

  1. 01Label and trim suppliers have their own minimums; a small garment order may still require a full label run
  2. 02Care label content is prepared from the information you give us; we do not provide legal review of labelling for your market
  3. 03Per-employee packing requires a confirmed list before packing starts; changes after that point are repacked at cost
  4. 04Removable name badges are sourced items and may have a longer lead time than the garments
  5. 05Heat-transfer neck prints wear faster than woven labels under industrial laundering
  6. 06We do not produce RFID or laundry-tracking chips; these can be applied if you supply them

§ 06Quality

How it gets verified

  • Label text, size and fibre content are checked against the approved proof before sewing
  • Label position is set on the pre-production sample and compared during in-line inspection
  • Per-employee packs are checked against the list for name, size and garment count before sealing
  • Carton contents are counted against the packing list and the list is sent with the shipment
  • Care symbols are checked against the fabric's tested wash behaviour before printing

§ 08FAQ

Labels, Name Badges & Packaging — common questions

Frequently asked12 Q

What is your minimum order quantity for custom uniforms?

Minimum order typically starts at 100 pcs per style; exact MOQ is quoted per project. The figure depends on the fabric, colour and level of customisation involved, so send us the style, quantity and branding you have in mind and we will confirm the MOQ in the quotation.

How long does bulk production take?

Lead time is quoted per project because it depends on fabric availability, order quantity and the amount of embroidery or printing per garment. Once the sample is approved and the order confirmed, the production schedule is confirmed in the quotation and we update you at fabric arrival, cutting and final inspection.

Do you make hi-vis, flame-retardant or certified protective clothing?

No. We do not manufacture certified PPE such as EN ISO 20471 hi-vis, flame-retardant, arc-flash or NFPA/ANSI-rated garments. What we do make is everyday workwear and uniforms, including corporate, hotel, restaurant, chef, housekeeping, retail and school uniforms, all with your branding applied.

Can you embroider individual staff names or add name badges?

Yes. We can embroider each employee's name directly on the garment from a list you supply, or add a badge holder, Velcro patch or removable name tag if staff change frequently. Per-name embroidery is priced per garment and needs the final name list before production starts, so it is confirmed in the quotation.

Can uniforms be colour-coded by department or role?

Yes. Colour coding is commonly done with different body colours, contrast collars or piping, sleeve tape, or a coloured department label at the chest or hem. Each colour variant is treated as a separate fabric lot, so let us know the department split when you request a quote and we will confirm minimums per variant.

Which fabrics do you keep in stock and which do you source to order?

We regularly run polycotton twill, cotton drill, pique, oxford, poplin, polyester-spandex, gabardine and fleece or softshell, and standard colours in these are usually available quickly. Special colours, weights or finishes are sourced to order from our mills, which adds fabric lead time that is confirmed in the quotation. Send us a swatch or a reference garment and we will tell you which route applies.

Can we re-order small top-up quantities for new staff?

Yes. Repeat orders are made against your sealed sample and the approved lab dips, so new garments match the original run. Top-up orders are subject to minimums quoted per project, and reserving fabric from the first run can make small repeats easier, so mention expected staff turnover when you place the initial order.

Can you pack uniforms per employee by name and size?

Yes. We can bag each employee's garments together, label the pack with name, department and size, and carton them by site or branch so your team can hand them out without re-sorting. We need the distribution list before packing starts, and any extra packaging cost is confirmed in the quotation.

Can you produce uniforms under our own brand with our labels?

Yes. We work OEM/ODM and can sew in your woven or printed main labels, size and care labels, hangtags and branded packaging so the finished garment carries your brand rather than ours. Send label artwork or existing label samples and we will source or produce them to match.

How do you check quality during production?

Fabric is inspected on arrival for shade and defects, then a pilot run from bulk is measured and compared with the sealed sample before cutting continues. During sewing, inline checks cover seams, logo placement and measurements, and a final inspection is carried out on finished garments before packing. You are welcome to appoint a third-party inspection company, and we will arrange access.

Do you work with uniform distributors and brands?

Yes. A large part of our production is for uniform distributors and workwear brands who resell under their own labels. We can hold approved samples and lab dips on file, run repeat programmes for their end customers and ship blind or with the distributor's own packaging and documentation.

Do you ship worldwide, and which Incoterms do you use?

Yes. We ship to customers worldwide by sea, air or courier depending on the quantity and urgency. The shipping terms (for example EXW, FOB or CIF) and any freight estimate are agreed with you and confirmed in the quotation, and we can work with your own forwarder if you prefer.
